Event Booking

  1. Multiple Bookings Allowed: We encourage corporates to engage actively in the 'Good Deeds Chart' campaign by booking multiple events. This flexibility allows corporates to plan and participate in a series of events, thereby maximizing their impact and engagement in the campaign. Team Everest is equipped to handle multiple event bookings from a single corporate, ensuring each event receives the same high standard of planning and execution.
  2. Date Flexibility: Corporates have the freedom to choose their preferred dates for hosting events, subject to the availability on Team Everest’s event calendar. This option provides corporates with the flexibility to select dates that align best with their schedules and maximizes participation. We recommend early selection of dates to ensure the best chance of securing your preferred timeslots.
  3. Booking Deadline: To ensure optimal planning and resource allocation, corporates are required to finalize their event bookings by the specified deadline (April 5, 8 pm IST). This deadline helps in the effective coordination and management of events, allowing Team Everest to provide the necessary support and resources. We advise corporates to plan ahead and complete their bookings within this timeframe to guarantee a smooth and successful event.
  4. Event Shortlisting: The final selection of corporate events to be included in the 'Good Deeds Chart' campaign is at the sole discretion of Team Everest. Our team meticulously evaluates each proposal to determine the best fit for the campaign objectives, considering factors such as volunteer engagement, and overall impact.

Volunteer Recruitment

  1. Corporate Involvement: It's the corporate's duty to recruit volunteers.
  2. Minimum Volunteer Numbers Commitment: Aim for 75 volunteers minimum participation per event. For companies lesser than 500 employees, we expect atleast 50 volunteers per event. The maximum number of volunteers per event is 300.
  3. Internal Promotion: Corporates are expected to actively promote the event using internal channels such as emails, Teams, Slack, etc.
  4. Expected Turnout: Typically, 50%-70% of those who sign up will attend. Plan your recruitment accordingly.

Volunteer Signup Form

  1. Mandatory Registration: It is essential for all volunteers to register for the event. This should be done through Team Everest’s official webpage.
  2. Alternative Registration for Restricted Access: Recognizing that some corporate networks may restrict access to external websites, Team Everest offers an alternative on-site registration process. This will be available during the event to ensure all volunteers can participate, even if they were unable to sign up online.
  3. Form Customization and Data Collection: Upon request from a corporate partner, Team Everest can modify the volunteer signup form to include two additional corporate-specific fields: Official Mail ID and Employee ID. This data will be collected solely for reporting purposes, only if requested by the corporate.
  4. Data Deletion Post-Campaign: To ensure data privacy and security, upon request from corporates, Team Everest commits to deleting the 2 corporate specific data which are ‘Official Mail IDs’ and ‘Employee IDs’ from our internal systems once the campaign concludes.
  5. Data Privacy: Team Everest do not sell any data to third parties and Team Everest Privacy policy is applicable for all datas collected.

Event Day Preparations

  1. Venue Responsibility: Corporates are responsible for arranging the venue and necessary amenities.
  2. Coordinator and Material Access: Grant access to Team Everest coordinators for bringing the necessary materials required for this event and taking them back after the event gets over.
  3. Equipment and Setup: Arrange necessary equipment - Table, Chair for the event. Having TV or Projector, Mic & Speaker will create a good volunteering experience though they are considered optional for the event.
